Privacy Policy

Last updated: 3 September 2026. This policy explains what personal data GlanceHQ collects, why, and your rights over it. We handle families’ and children’s information, so we keep this short and honest.

Who we are

GlanceHQ (“we”, “us”) is a service operated by GlanceHQ Ltd, registered in England and Wales, company no. 17334153, registered office 71-75 Shelton Street, Covent Garden, London WC2H 9JQ, United Kingdom, the data controller for the information described here. For any privacy question or to exercise your rights, contact info@glancehq.co.uk. We are registered with the UK Information Commissioner’s Office (ICO), registration number ZC206847.

What we collect

• Your account: your email address and the family name you choose.
• Your children: the name, year group, and school you add for each child, so we can filter what matters to each of them.
• What you send us: the school/club emails you forward, and any messages, screenshots, photos or PDFs you paste or upload. These may include your children’s details and, in photos, their images.
• What we work out: the dates, deadlines and reminders we extract from the above to build your daily brief, plus any items you add yourself.
• Co-parents you invite (their email).
• Limited usage data: anonymous, privacy-clean counts and timings to see whether the product helps (a one-way hashed account id, never your content).
• Notifications: a device token if you turn on push notifications.

Why we use it, and our legal basis

• To provide the service (reading what you send and building your brief): our basis is performance of our contract with you. You provide your children’s information as the responsible parent/guardian.
• Product improvement (anonymous usage data): our legitimate interest in improving the service, balanced against your privacy. This data is anonymised and never includes content.
• Optional emails/notifications you turn on: your consent, withdrawable anytime.

We do not use your information to advertise, profile, or sell it. We don’t use school names to infer religion or beliefs; they’re only used to route a school’s messages to the right child.

Children’s data

You add your children’s details so GlanceHQ can filter information to them. We treat this data with extra care under the UK GDPR and the ICO’s Age Appropriate Design Code: we collect the minimum needed, never make it public, never share it for marketing, and let you delete it instantly. GlanceHQ is a service for parents; it is not directed at or used by children.

Ask Gigi, and speaking

Ask Gigi answers questions about your own brief. It can only read items already in your household — the same ones the brief shows you, filtered the same way — so it can’t see another family’s information, and it can’t reach out to the wider internet. When it doesn’t find something, it says so rather than guessing. Every answer shows which item it came from, so you can check it.

Speaking your question is handled on your phone, by Apple’s or Android’s own speech recognition. The recording never reaches us: we only ever receive the text, exactly as if you had typed it.

Answers are read back to you out loud, in a natural voice. Closing the Ask Gigi card stops the reading, and asking nothing keeps everything silent. See “Who we share it with” below for what the natural voice sends and to whom.

Who we share it with

We use a small set of trusted providers (“processors”) under contract, who may only act on our instructions:

• Anthropic (Claude AI): reads the text/images you send to extract dates and details, and answers your questions in Ask Gigi. Processed in the United States under appropriate safeguards. Your data is not used to train their models.
• Supabase: secure database and file storage.
• Postmark: receives the emails you forward and sends your briefs (United States).
• Netlify: hosting (United States).
• Google Cloud Text-to-Speech: the natural voice Gigi answers in. When an Ask Gigi answer is read aloud, the wording of that answer is sent to Google to be turned into audio. It can include a child’s name, and the time or place of something they’re doing. Google returns the audio and does not store the text or use it to train their models. This only ever happens when you ask Gigi a question: never ask, and nothing is sent. If the natural voice cannot be reached, your phone reads the answer instead and nothing leaves the device.

For features like weather, we send only a school postcode (no personal data) to postcodes.io and Open-Meteo.

International transfers

Some providers above are in the United States, so your data may be transferred outside the UK. Where it is, we rely on appropriate safeguards (such as the UK International Data Transfer Agreement / Standard Contractual Clauses) to protect it.

How long we keep it

We keep your information while your account is active. You can delete any individual item, or your entire account, at any time, and deleting your account erases your data (including uploaded files) from our systems.

Your rights

Under UK GDPR you can: access a copy of your data; correct it; delete it; restrict or object to processing; and ask for portability. You can do much of this in the app (edit in Family, delete in Plan). For anything else, email info@glancehq.co.uk. You also have the right to complain to the ICO (ico.org.uk).

Security

Data is encrypted in transit and at rest, access is restricted to your household, and only the inbox address you set up receives your forwarded mail. We take protecting children’s information seriously.

Cookies

We use only the essential cookies needed to keep you signed in. We don’t use advertising or third-party tracking cookies, and there is no ad pixel or third-party analytics on this site or in our apps.

If you try GlanceHQ from our signup page before creating an account, what you paste or add there is read once to show you the result and is not stored: no copy is kept, and nothing about it is linked to you. If you then create an account, your browser hands what you tried to your new brief so you keep it; it reaches us only at that moment, as the first thing you have added.

We do count how our own pages are used, and only in the plainest sense: a page was opened. Those counts carry nothing that could identify you or your device, no cookie, no advertising identifier, no record of what you looked at or for how long, and they are never shared with anyone. Two visits by the same person are two anonymous counts, never one person we are following. They exist so we can tell whether a page is working, and nothing else.

One narrow exception, stated plainly: if you arrive here by tapping one of our own ads, the ad platform attaches a click code to the link. If you then press a button to get started or to get the app, or go on to sign up, we send that code back to the platform so it knows its ad worked. We keep that code with your account so we can do the same if you later start a trial or subscribe. Each of those messages contains nothing about you or your family, no name, no email, nothing about your children, and none of it ever happens for anyone who didn’t arrive from an ad.
